General
CoproHarmony is a complete property management platform designed for condo association boards. It centralizes everything in one place: property information, documents, issues, votes, general meetings and events, accounting, contracts, board members, and communication between co-owners.
The platform is designed for the whole property. Board members and managers have full management tools, while residents access a simplified space (public documents, seasonal rentals, events, public votes, and contact with the board).
Log in from app.coproharmony.fr with your email address. CoproHarmony uses secure one-time code login: you receive a code by email to enter, with no password to remember. You need your property's code (provided by the board) to create an account.
Each property has a unique code, visible on the My Property page for board members. This code must be shared with anyone wishing to create an account: it ensures only the relevant co-owners and residents join the space.
Dashboard
The dashboard offers an overview of your property: issue statistics, upcoming events, an accounting summary, and important notifications. Residents also find current public votes, seasonal rental rules, and the latest public documents there.
My Property
The My Property page gathers basic information: name, address, photo, manager contact details, and sign-up code. Board members can edit this information, change the photo, and update the administrator's email.
On the Settings page (reserved for board members), turn the Seasonal Rentals module and the visibility of issues to residents on or off. These settings determine whether these sections appear in residents' menu.
Documents
From the Documentation page, click "Add a document", give it a title, choose a section, and drag your file. You can make it public (visible to residents) or private (reserved for the board).
A public document is visible to all residents of the property (regulations, general meeting minutes, useful information). A private document remains reserved for board members. You can switch visibility at any time.
Every document has a download button. Residents find the latest public documents directly on their dashboard, and all public documents on the Documentation page.
Practical Info
It gathers practical Q&A sheets for the property (pool, bulky waste, elevator, entry code…), each of which can include an attached document. A sheet can be public (visible to residents) or private (reserved for the board).
The free version is limited to 3 practical info sheets. An active Premium subscription lets you create as many as needed.
Seasonal Rentals
It regulates short-term rentals (Airbnb-type) in the property: a mandatory document to download, information and rules to follow, and useful images. It's the reference point for co-owners who rent out their unit.
Board members can select, among the public documents, the document to download in French and, optionally, in English. Only public documents can be chosen for this.
Issues
On the Issues page, click "Add an issue". Enter the title, description, location, status, and priority, add photos if needed, and optionally assign a board member responsible for follow-up.
You can display issues as cards, a list, or a Kanban board. A clickable stats bar lets you filter by status, and search plus advanced filters (priority, category, date, assigned member) refine the list.
Export the full list of issues or a single issue as PDF via the "Download PDF" button (list) or the PDF icon in an issue's detail view.
Votes
On the Votes page, click "Create a vote". First choose the visibility (public or private), then enter the question, description, end date, and answer options. You can allow a single or multiple choice.
A private vote is reserved for board members, with the option to select specific participants. A public vote is open to the whole property: it appears on residents' dashboards, who can respond directly.
Yes, when creating a vote you can send an email to participants. This email-sending option is part of the Premium features and requires an active subscription.
Each vote shows the number of participants and the breakdown of responses in real time. Once closed, the final result is kept and available to view.
Events
On the Events page, click "Add an event" and enter the title, description, date and time, location, and type. The event then appears in the calendar.
The calendar displays all your events. Switch between month, week, day, or list views, and click an event to see its details. Events are also visible to residents.
General Meetings
General meetings are a special type of event dedicated to the property's official meetings. They also have a detailed agenda (discussion topics) and a PDF export, accessible from the General Meetings page.
On the General Meetings page, click "Create a general meeting" and enter the title, date and time, location, description, and visibility (published or draft). Then add the agenda topics, each of which can include photos and documents.
Every general meeting can be exported as PDF with its full agenda, photos, and associated documents. Residents can download this PDF as soon as the meeting is published.
Contacting the Board
Residents have a "Contact the Board" page with a dedicated form (subject, message). The request is sent to the board, who find it in their list of received requests.
Board members view all resident requests from their space, with follow-up on each exchange so nothing goes unanswered.
Board Members
On the Board Members page, click "Add board member" and enter the first name, last name, email, phone, role, and term start date. You can add a photo and notes.
When creating or editing an issue, select a member in the "Assigned member" field to track who is responsible for resolving it.
Users & Roles
From the Users page (reserved for board members and administrators), click "Add a user", enter the information, and assign a role.
The main distinction is between residents (user role: viewing, public votes, contacting the board, reporting issues) and board members (member role: access to management tools). When creating a user, you assign one of these two roles; the administrator role, reserved for broader access, can only be granted by an existing administrator.
Contacts & Providers
On the Contacts page, click "Add a contact" and enter the name, email, phone, address, and role. You can mark a contact as urgent.
An urgent contact (emergency provider, priority repair) is highlighted in the list to be found immediately when needed.
Accounting
On the Accounting page, click "Add an entry", choose the type (debit or credit), amount, description, date, and category. You can attach supporting documents.
Select the year at the top of the page. If no budget exists, click "Create a budget" to set the annual amount, which you can later edit or delete.
Export your entries as PDF via "Download PDF". The document includes the filtered entries and a summary of totals (debits, credits, balance, budget).
Contracts & Assets
The Contracts page centralizes contracts (maintenance, insurance, providers) with their associated documents, to easily find and track them.
The Assets page serves as an inventory of the property's equipment and belongings (equipment, keys, common facilities), for a clear record of what the property owns.
Subscription & Payment
CoproHarmony offers a free version to get started and a Premium subscription at €21.99/month or €242/year (1 month free) that unlocks advanced features: email sending, unlimited PDF exports, and unrestricted use.
On the Subscription page, choose a plan and click "Choose this plan". You are redirected to Stripe Checkout for 100% secure payment.
On the Subscription page, if a subscription is active, click "View invoices" to view and download your invoices as PDF, as well as your subscription history.
In the Actions section of your active subscription, click "Cancel subscription". You can cancel immediately or at the end of the period; in the latter case, access remains active until the end of the paid period.
Yes, new properties benefit from a free trial period. The number of remaining days is shown in the menu and on the Subscription page.
Each subscribed property has an included storage space for its documents, photos, and attachments, with usage shown in the menu and on the Subscription page. If space runs low, you can add an additional storage pack to your subscription: it is billed on the same invoice, with the same frequency (monthly or annual) as your subscription, and can be cancelled at any time independently of it.
CoproHarmony is used to manage your condo association board: you can forward your subscription invoice to your property manager (syndic) so they can reimburse you. That said, it's always best to check with them beforehand to confirm they'll approve it.
